Zoom Integration

Connect Zoom with XILA calendar and meetings.

Welcome to the user documentation for the Xila Zoom Integration, powering Xila Calendar. This guide will walk you through adding the application, utilizing its features, and safely removing it from your Zoom account. Please note that Xila is an independent platform and is not built by Zoom. By connecting your account, you simply authorize Zoom from Xila Calendar to generate meeting links seamlessly on your behalf.

1. Adding the App

You can add this integration directly from the Xila website without needing to install any Zoom Client plugins. Just follow these easy steps to get started:

  1. Sign in to your Xila account by visiting https://xila.com/auth/signin.
  2. Navigate to Xila Calendar (https://xila.com/workspace/calendar).
  3. Click on Settings (the gear icon) and open the General section.
  4. Under the Zoom section, click on Connect Zoom.
  5. You will be temporarily redirected to Zoom’s secure consent screen. Sign in to Zoom if prompted, review the requested permissions, and click Allow.
  6. Zoom will then redirect you back to your Xila Calendar Settings. You should now see Zoom listed as Connected!

1.1 Permissions requested on connect

  • user:read:user — Allows us to securely identify your Zoom user profile after connection.
  • meeting:write:meeting — Enables Xila to create scheduled Zoom meetings and join links automatically on your account.
  • meeting:delete:meeting — Ensures we can clean up and delete a Zoom meeting if you delete its corresponding Xila calendar event.

2. Usage

Once your Zoom account is securely connected, Xila will handle generating Zoom meeting links automatically whenever you schedule a video event or receive a booking. These meetings are hosted natively on your Zoom plan.

2.1 Creating a calendar event with an automatic Zoom link

Use Case: Host a video call directly from Xila Calendar without needing to copy and paste a Zoom URL manually.

  • Prerequisites: An active Xila account, Zoom successfully connected in your Calendar Settings, and a Zoom plan capable of creating meetings via API.
  • Steps: In Xila Calendar, create a new event. Set the location type to Video, choose Zoom as the provider, and leave the meeting URL field empty. Then, click Save.
  • Result: Xila communicates with Zoom to create a scheduled meeting instantly and securely stores the join URL right on your event (e.g., https://zoom.us/j/...).

2.2 Handling public bookings with Zoom

Use Case: Allow guests to book a slot on your public booking page and seamlessly receive an automated Zoom link.

  • Prerequisites: Zoom connected and a public booking/event type configured to use Zoom as the video provider.
  • Steps: A guest visits your booking page, selects an available slot, and finalizes the booking process.
  • Result: The booking confirmation and your calendar event will both beautifully display the unique Zoom join link.

2.3 Deleting an event that has a Zoom meeting

Use Case: Automatically remove a scheduled Xila event alongside its linked Zoom meeting.

  • Prerequisites: Zoom remains connected and the event was initially created with an automatic Zoom link.
  • Steps: Open the target event in your Xila Calendar and hit Delete.
  • Result: Xila ensures your schedule stays clean by removing both the Xila event and the corresponding Zoom meeting automatically.

3. Removing the App

If you no longer wish to use Zoom with Xila, you can quickly disconnect the service. For a complete removal, we recommend disconnecting it inside Xila first, and then removing the app from your Zoom account directly.

3.1 A. Disconnect in Xila (Recommended First)

  1. Open Xila Calendar and head over to Settings.
  2. Click on Disconnect Zoom and simply confirm your choice.
  3. Xila instantly revokes the stored OAuth tokens and safely removes the connection. You can always reconnect at any time in the future!

3.2 B. Remove the app from Zoom Marketplace

  1. Log into your Zoom account and visit the Zoom App Marketplace.
  2. Click on Manage, then select Added Apps (or view your Installed apps).
  3. Find and click on the Xila application.
  4. Hit Remove and follow any final confirmation prompts.

3.3 Implications of Removal

  • Once removed, Xila will no longer be able to create new Zoom meetings for your profile until you decide to reconnect.
  • Any existing Xila calendar events will remain intact, preserving any previously saved Zoom URLs.
  • Scheduling new events with Zoom as the provider without manually pasting a link will gently prompt you to reconnect the service.

4. Data Handling

We treat your data with the utmost care. Your Zoom integration relies on industry-leading security practices to ensure your schedule and identity remain fully protected.

  • Zoom OAuth access and refresh tokens are stored encrypted at rest and are always transmitted over highly secure, encrypted connections.
  • Rest assured, your Zoom account and meeting data are never used for advertising and are strictly never used to train AI or machine learning models.
  • Upon disconnecting, we completely and permanently delete the Zoom OAuth tokens associated with your profile. We retain absolutely no Zoom credentials afterward.

5. Troubleshooting

Running into a minor hiccup? Don't worry, most connection issues can be resolved in seconds. Check out our quick troubleshooting tips below:

  • Denied consent: If Zoom is not connected, it's likely permissions were denied. Simply click Connect Zoom again and approve the necessary permissions.
  • Invalid scope / Meeting creation fails: Sometimes tokens get outdated. Disconnect Zoom in Xila, then connect again to refresh your scopes.
  • No join link generated: Ensure Zoom is selected as your provider, leave the URL field empty so Xila can generate it, and verify your Zoom plan has meeting creation rights.
  • OAuth Redirect Errors: Ensure you are connecting through the official production URL (https://xila.com) rather than a local environment.
