Welcome to the user documentation for the Xila Outlook Integration, powering Xila Calendar. This comprehensive guide will walk you through seamlessly connecting your Microsoft Outlook account via Microsoft Graph, syncing your calendars, generating Teams meeting links automatically, and safely revoking access if needed. Please note that Xila is an independent platform and not a Microsoft product. By connecting, you simply authorize Microsoft from Xila Calendar so we can enhance your productivity on your behalf.
1. Connecting Outlook
You can securely connect your Outlook account directly from the Xila website. Follow these simple steps to get integrated:
- Log in to your Xila account by visiting https://xila.com/auth/signin.
- Navigate to Xila Calendar (
https://xila.com/workspace/calendar). - Click on Settings (the gear icon) and open the General section.
- Under the Outlook / Microsoft section, click on Connect Outlook.
- You will be temporarily redirected to Microsoft's secure OAuth consent screen. Sign in if necessary, review the requested permissions, and hit approve.
- Microsoft will instantly redirect you back to your Xila Calendar Settings. You should now see Outlook listed beautifully as Connected!

offline_access— Allows us to securely obtain refresh tokens so your connection stays reliably active over time.User.Read— Enables us to identify your Microsoft account correctly once connected.Calendars.ReadWrite— Crucial for reading and writing events so your calendar syncs flawlessly.OnlineMeetings.ReadWrite— Lets us create Microsoft Teams online meetings and join URLs whenever you select Teams as your provider.
2. Usage
Once your Outlook account is successfully connected, Xila effortlessly syncs your calendar events with Microsoft Graph and handles Teams meeting link generation automatically for your video events.
2.1 Two-way Calendar Sync
Use Case: Keep your Xila Calendar and Microsoft Outlook schedules perfectly aligned without lifting a finger.
- Prerequisites: An active Xila account and Outlook successfully connected in your Calendar Settings.
- Steps: Simply keep Outlook connected and use Xila Calendar normally. The events you create, update, or delete will sync based on your active calendar configurations.
- Result: Your calendar data is consistently read and securely written via Microsoft Graph using the permissions you authorized.
2.2 Creating an event with a Teams meeting link
Use Case: Automatically generate Microsoft Teams join links when scheduling video meetings.
- Prerequisites: Outlook connected and a Microsoft account capable of creating online meetings.
- Steps: Create a new event inside Xila Calendar. Set the location type to Video, select Teams as your provider, and hit Save.
- Result: Xila uses Microsoft Graph to spin up an online meeting instantly, attaching the Teams join URL seamlessly to your event.
3. Disconnecting and Revoking Access
You are always in control. If you ever need to disconnect Outlook, you can easily do so from Xila and revoke our access from your Microsoft account for absolute peace of mind.
3.1 A. Disconnect in Xila (Recommended First)
- Open Xila Calendar and go to Settings.
- Click on Disconnect Outlook and firmly confirm your choice.
- Xila will securely delete the stored OAuth tokens and sever the calendar connection. Your events will stop syncing and Teams links will no longer be generated until you reconnect.
3.2 B. Revoke access in your Microsoft Account
- Sign into Microsoft and visit your app permissions page, such as the privacy / app access center or your organization's My Apps portal.
- Look for Xila (or the exact name presented during consent) and explicitly click to revoke its access.
3.3 Implications of Removal
- Xila will completely halt syncing Outlook calendars and stop creating new Teams meeting links immediately.
- Your existing calendar events inside Xila may still display any previously generated Teams URLs or synced details.
- Meetings previously generated in Microsoft Teams will remain safely on your Microsoft account until you choose to remove them there.
4. Data Handling
We take your privacy and data security incredibly seriously. Integrating your Microsoft account with Xila utilizes state-of-the-art protections to guarantee safety at every step.
- Microsoft OAuth tokens are heavily encrypted at rest and only ever transmitted via secured, encrypted connections.
- Your Outlook and Microsoft Graph data are strictly never used for advertising and never used to train AI or machine learning algorithms.
- When you disconnect, your stored tokens are securely purged, ensuring we retain no lingering access.
- For a deep dive into our commitments to third-party integrations, we welcome you to review our comprehensive Privacy Policy.
5. Troubleshooting
Having a little trouble? Almost all sync and connection issues are an easy fix. Here are some quick solutions to get you back on track:
- Denied consent: Outlook failed to connect. Try clicking Connect Outlook again and be sure to approve the requested permissions.
- Sync or Teams creation fails: Sometimes Graph permissions need a refresh. Disconnect Outlook within Xila entirely, then Connect again to fetch a fresh token.
- OAuth Redirect Errors: Our production callback URI is highly secure. Make sure you are initiating the connection from the live site (https://xila.com) rather than a local test environment.
